Description
GENERAL DESCRIPTION
The Stores Officer supports the company fleet by inspecting, receiving, storing, issuing and shipping parts, tools, ground support equipment, consumables as well as any other required with the goal to ensure the company fleet has the required parts, tools, ground support equipment consumables as well as any other required available in the required quantity, at the required time, on the required location of the standard required by the Company for the purpose of maintaining airworthiness of the company fleet at the highest possible level. The Stores Officer ensures the above by means of inspecting, receiving, storing, issuing and shipping purchased, repaired / overhauled, exchanged, warranty power by the hour, depending on the situation and the requirement being stock replenishment, scheduled maintenance, unscheduled maintenance, choosing the correct approach, always making sure the activity is carried out accurately, timely, cost effectively and in compliance with the company and their policies and procedures as well as regulatory requirements.
Missions / Responsabilités / Activités
DUTIES & RESPONSABILITIES  
Inbound Inspection and Receiving
  • The Stores Officer acting in accordance with company policies and procedures will inspect, receive process items required, hereby keeping in mind the required urgency, required delivery time, required quantity, required standard in regard to airworthiness and the value. It is the responsibility of the Stores Officer to manage the inbound process from the arrival of the box at the facility to the binning of the item for storage, issuing the item for a requirement or preparing it for shipping to another location;
  • Inspection of the package on arrival before signing for received
  • Reporting any damage noticed to the outer packaging
  • Reporting the item as arrived in accordance with the department procedure
  • Putting the items away prior to inbound receiving in the agreed way and manner as per department instruction, clearly marking the outer packaging with date of arrival and PO / RO or any other means of traceability
  • Inspecting the item and paperwork attached in accordance with company procedures and policies as well as airworthiness requirements
  • RAMCO/SAP/SAM inbound receiving processing, allocation Provide support to engineering / material planning in regard to parts requirements
  • Follow up on any issues in regard to the condition of parts or paperwork received
  • Issuing a label and having the part ready for binning or ready for signing by qualified personnel as described in the company policy & Procedures  
Storage, Issuing of stock & Inventory Control
The Stores Officer acting in accordance with company policies and procedures will ensure items are stored in accordance with industry requirements thereby minimizing likelihood of damage, keeping items in the required condition, maximizing the availability, issuing items as and when required hereby keeping in mind the required urgency, required delivery time, required standard in regard to airworthiness. Inventory control, being tracking of shelf life and storage requirements, stock verification by stock count, location accuracy as well as timely and accurately processing stock variations in the WMS system used by the company. It is the responsibility of the Stores Officer to manage the storage issuing of items and inventory control from the moment of binning of the item up to the moment the item is issued from the store. The above includes all actions described in the MPM in regard to storage, issuing, inventory control of aviation related parts, tools and equipment consumables and any other items required.
  • RAMCO/SAP/SAM processing of binning, issuing, locations, shelf life, internal movements
  • Accurately binning items on an the location selected
  • Ensuring items are stored with appropriate paperwork attached
  • Ensuring items are stored in a proper manner
  • Ensuring items are stored in an appropriate location and environment
  • Accurate Record keeping of issued parts
  • Performing monthly shelf life inspections
  • Removal of expired items
  • Performing stock counts when and if so required by management and company policy
  • Man the stores counter
  • Keeping office and storage area clean and tidy at all times  
Shipping:
  • The Stores Officer acting in accordance with company policies and procedures will ensure parts are picked, prepared and packed for shipment to the required location Keeping in mind the required urgency, required delivery time, required standard in regard to airworthiness and the financial implications for the company the stores Officer will within the means available choose the most effective and efficient t way to dispatch a shipment . It is the responsibility of the Stores Officer to ensure that the parts shipped are accurately documented, packed in a way that minimizes the risk of damage or loss of the item and the attached paperwork as well as organizing the delivery of the item required in the fastest possible time  as well as
  • Picking the required parts in the required quantity state and required paperwork
  • Documenting the parts picked / to be dispatched accurately in the required way
  • RAMCO/SAP/SAM processing of the items picked /transfer of the items to the new location
  • Preparing the individual items in a way that minimizes risk of loss or damage
  • Packing the items to be dispatched in an appropriate outer packaging keeping in mind the specific requirements existing for particular items
  • Selecting / organizing the most efficient and effective way of transportation
  • Informing the receiving location of the details regarding the shipment and the transport organized
  • Keeping the outbound shipping area organized and tidy at all times  
Reports / Administration / Filing:
The Stores Officer in performing the daily duty is required to maintain accurate reports / administration / filling both as part of the job and for internal parties, being Logistics Manager, other Company Location stores,  Part 6, Engineering, Technical Director and any other part of the Company organization related to the duties of the Stores Officer to ensure accurate and timely overview of required information related to the duties of the Stores Officer  at all times  
Other Duties:

The Stores Officer function is part of the Logistics / Stores Department and is expected to perform any task required within the scope of duty of the Logistics / Stores department if so required. During the time on duty it is expected that the Stores Officer assists the Logistics Officers if assigned by the Logistics Manager, It is the responsibility of the Stores Officer to attend to the daily engineering toolbox meeting and if required provide accurate and up to date information to engineering It is expected that the Stores Officer attends any department / company meeting required as either a Company employee or the function of Stores Officer and comes prepared to contribute to the meeting within the scope of the duties and responsibilities specified in this job description. The Stores Officer is required to attend any company provided training or activity if so decided by The Company management. The Stores Officer is expected to comply with all policies and procedures within the Company both specifically applying to the function as well as generally applying to being a Company employee.

COMPETENCIES
Technical competencies:
  • Strong knowledge of policies and procedures relevant to the function and deemed as mandatory as a Company employee
  • Sound knowledge of RAMCO/ SAP / SAM and any other IT solution used in the daily function
  • Solid material knowledge
  • Good knowledge of the basic requirements in regard to airworthiness, related to the duties and responsibilities specified, through work experience or training received.
  • Above average knowledge of storage requirement for aviation related parts, tools, consumables and any other related items
  • Basic knowledge of inventory control

QUALIFICATIONS
Mid-level education in a related field
Working experience in Aviation related environment  
Be perfectly Bilingual.

  • Minimization of errors on both Company as vendor side as far as items requested / received are concerned as well as the documentation sent / received.
  • Ensuring  accuracy on quantity processed as well as that this matched the existing requirement
  • Timely according to priority handling of all orders received

  • Actively contribute to the development of processes / procedures within the function
  • Accurate timely reporting  
REPORTING LINES
The function of Stores Officer  being part of the Logistics / Stores department reports operationally  to the Stores Supervisor and Part 6 Unit and functionally to the  Logistics Manager / Deputy and indirectly to the Technical Director of the company.

ORKING HOURS / PATERN AND LOCATION

The stores officer function is in principal conducted shift pattern, however if the company so decides it can be changed at any time the company deems appropriate The Stores officer is expected to be able willing and available to at any time when asked by the company fill in to cover any shift required within the Logistics-Stores department on any location required.

WORKPLACE:
The Employee is recruited in Douala with possible travel within Cameroon and to other countries as required
